Find objects, refine results, save searches, and use search filters
Applies to: DocuShare 8.1
Overview
DocuShare 8.1 provides search tools for finding objects and content across the site or within a selected location. Search behavior and available filters depend on your site configuration, permissions, and search engine.
Search for objects
- Open the Search area or search control.
- Select the search scope, such as the current folder or the entire site, where the option is available.
- Enter a word, phrase, property value, or other search criteria.
- Run the search and review the results.
- Use the available filters and result columns to narrow or organize the results.
Search for new content
Use the new-content view when you need to find recently added or changed objects. The results are still limited by your permissions and the indexing state of the site.
Use filters
After a search runs, review the filters applied to the results. Select or clear filters to narrow the result set, then run the refined search if prompted.
If an expected object is missing, confirm the search scope, filters, permissions, and whether the object has been indexed.
Reserved characters
Some characters have special meaning in search expressions. If a search containing punctuation or reserved characters returns unexpected results, follow the search syntax shown by your site or remove the special character and search using distinctive words instead.
Use quotation marks or the documented search syntax only when the search interface supports them.
Save and reuse a search
When the save-search option is available, save the query with a descriptive title. A saved query lets you run the same search again without re-entering its criteria.
Saved searches follow the permissions of the user who runs them; saving a search does not grant access to the returned objects.
Download or report results
Use the available result or report command when you need a copy of the result list. The fields and format depend on the configured reporting options and your permissions.
Troubleshooting
If search returns no results, broaden the terms, check the scope, clear filters, and confirm that the object has been indexed.
If results differ from another client, compare the search scope, search options, permissions, and indexing status before reporting a problem.
Support
If the option described in this article is not available or does not behave as expected, contact Xerox DocuShare Support with your DocuShare version, the page or workflow involved, the user action that failed, and any displayed error message.
