Ask questions about indexed content, review answers, and manage AI search sessions

Overview

AI Content Assistant Search provides a conversational way to search indexed DocuShare content. It is available only when the required Content Assistant subscription and site configuration are in place.

The administrator controls which content is included in the AI search index and which AI models are available.

Before you begin

Confirm that your administrator has enabled Content Assistant and indexed the collections or files you need.

Use the standard search experience when you need exact property filtering or when the content has not been added to the AI index.

Run an AI search

1. Open the AI Content Assistant Search interface.
2. Enter a specific question in natural language.
3. Review the returned answer and supporting content.
4. Ask a follow-up question when you need to refine the result.

Use clear questions that identify the subject, time period, document type, or collection of interest.

Choose a model

If model selection is available, choose the model that your administrator or subscription makes available for the task. Model availability and behavior can vary by subscription and site configuration.

Use filters and review the source context

Review the filters applied to the search so you understand which content scope produced the answer.

Open or inspect the supporting documents when available. Treat the answer as assistance for locating and understanding content, not as a replacement for reviewing the source document.

Use AI Instructions

Use AI Instructions to provide task-specific guidance for how the assistant should interpret or present the request when the feature is available.

Keep instructions specific and avoid including confidential information that is not needed for the search.

Save, resume, or revert a session

Use the session controls to save a useful search session, resume a saved session, or revert a conversation when you need to return to an earlier point.

A saved session does not change document permissions or alter the source content.

Review extraction confidence

When AI data extraction includes confidence information, review the confidence indicator and verify important values against the source document. Correct or report inaccurate extraction according to your organization's process.

Manage indexed content

If your permissions allow it, use the AI index controls to add or remove files and collections from the AI search index.

Removing content from the AI index does not delete the source file or collection. It changes whether that content is available to AI Search.

Important limitations

AI responses can be incomplete or incorrect. Verify important dates, amounts, names, and decisions against the source documents.

AI Search only uses content that is indexed and that you are authorized to access. If content is missing, ask an administrator to verify indexing and permissions.
