How to Convert Microsoft Outlook Mail Messages to DocuShare MailMessage Objects
Prerequisite:
· This requires DocuShare 6.6.1 Update 2.
To convert Microsoft Outlook Mail Messages to DocuShare MailMessage Objects:
1. Create a new Content Rule.
a. Log into DocuShare
b. Browse to the Collection you would like to create the Content Rule on.
c. Select Properties. The View Properties page will display.
d. Select Content Rules. The Description page will display.
e. Click the Create a New Content Rule link. The Create a New Content Rule page will display.
f. In the Title field type a name for the new Content Rule. You can also enter a Summary and Description if desired.
g. Click the Next button. The Event Triggers page will display.
h. Choose a trigger condition from the When (choose only 1) menu.
Note: We recommend that the *(Any change) option is selected because, this will cause any behavior that affects the MSG document will trigger the content rule to generate a new DSMailMessage object. The linked MailMessage of MSG will always keep refreshing (not the same handle), even new version added or prefer version changed.
User may need to create several content rules with different trigger conditions if *(Any change) is not selected. For example, Something added or New document version added.
i. Select *(Any content) from the When the object type is menu.
j. Select one of the options from the Event applies to menu.
k. Click the Next button. The Content Property Conditions page displays.
l. Select options if desired then click the Next button. The Actions Performed page will display.
m. From the Action for Content Involved (choose only 1) list, select Convert Microsoft Outlook mail message option.
Note: If this option is not listed. Verify that the server has the prerequisites listed at the top of this document.
n. Click the Next button. The Completion Settings page will display.
o. If desired select the Completion settings,
p. Click the Done button. The View Properties of the Content Rule will be displayed.
2. Test the new Conversion Content Rule
a. Upload a *.msg file.
b. Refresh the page. A DSMailMessage object with the same file name will appear in the same location.
Note: The Summary of the new MailMessage object will point to the original *.msg and the original *.msg will point to the new MailMessage object in the ‘Appears In’ property.
c. Select the new DSMailMessage object that was created and it will open from the browser. This will allow users to open and read the document from the web or without Microsoft Outlook.
Note: If an object is uploaded to the Collection that the Conversion Content Rule is created on that is not a *.msg nothing will happen because it is not convertible.
