Prerequisites:
- Scanning directly from the scanner to DocuShare (without the cover sheet) works.
Note: For information on how to set up scanning directly to DocuShare refer to the Knowledge Base on Scanning.
- Scan Cover Sheets (Glyphscan) has been Enabled.
Note: For information on how to set up the scan cover sheets refer to the Knowledge base on Scanning.
Solution
Note: You must be the site administrator to perform this solution.
- Verify that Integrate Scan Cover Sheet Option is Enabled
Note: This option must be enabled if Glyphscan is enabled in DocuShare. If you do not enable Integrate scan cover sheet then the scan job may be pulled from the SMB folder or FTP but not show up in DocuShare.
- Log in to the DocuShare web interface as admin
- Click Admin Home Link. The Administration Home web page will be displayed.
- Click the [+] sign next to Services and Components to expand the option.
- Click the Scan link. The Scan webpage will be displayed.
- Under the Integrate Scan Cover Sheet Feature with Scan Service, select Yes radio button.
- Click the Apply button to save the changes.
2. Verify the XST File Checking Setting in DocuShare (Only Available with SMB Scanning)
Note: Contact WorkCentre Technical Support if you require assistance enabling the job log (XST) on the device.
Note: If you do not use a Xerox WorkCentre to scan to DocuShare then you must disable the XST file checking. However, if all your Scan Devices are Xerox MFD's that have the ability to send the XST file it is preferred to have "Disable the XST File Checking" set to NO and configure the MFD's to send the XST (job log enabled at the WorkCentre). When DocuShare is configured to receive the XST file it places a LOCK on the Document to avoid pulling the file from the watcher directory before the scan has completed.
a. Log in to the DocuShare web interface as admin
b. Click Admin Home link. The Administration Home webpage will be displayed.
c. Click on the [+] sign next to Services and Components to expand the option.
d. Click on the Scan link. The Scan webpage will be displayed.
e. CSelect the appropriate option depending on your environment for the Disable the XST File Checking option. (See note above for further information on this)
f. Click the Apply button to save your changes.
- Restart the Scan Services
a. Log in to the DocuShare web interface as admin
b. Click Admin Home link. The Administration Home webpage will be displayed.
c. Click the [+] sign next to Site Management to expand the option
d. Click the Site Configuration link. The Site Configuration webpage will be displayed.
e. Select No next to either the Enable SMB Scanning or the Enable FTP Scanning depending on which option you are using.
f. Click the Apply button to change the changes.
g. From the Administration menu | Site Configuration link, select Yes next to either Enable SMB Scanning or Enable FTP Scanning depending which one you disabled in the previous step. This will re-enable the option; therefore, restart it.
- Verify the Scan Image Quality (if using SMB Scanning)
a. Log in to the DocuShare web interface as admin
b. Browse to a Collection that you would like to scan into and then select the Collection Properties icon. The Properties webpage will be displayed.
Note: To create a cover sheet for your personal collection, click your username on the navigation bar.
c. Click the Scan Cover Sheet link, and then click the Create Scan Cover Sheet link. A new Cover Sheet should be displayed in a separate window.
Note: If you have an existing Cover Sheet you can view it then print.
d. Select Save and save the cover sheet to a location on your computer.
e. Contact Technical support desk at 1-800-835-9013. Explain that you are troubleshooting Glyphscan and are trying to determine if there is a scan image quality issue and that you have a saved cover sheet that you can email to them.
f. The technical support desk can then print the cover sheet and scan a test document with it. They will capture the PDF coversheet with a test document behind it and email it back to you to place in your shared folder (SMB), and then DocuShare should pick up the job and add it to DocuShare.
g. If this works, then the issue is with the machine you are scanning from not DocuShare. Such as copy quality, skewing, etc.
