| Applies after enablement: Office Connector requires DocuShare 8.0 or later and must already be enabled and configured for the deployment. DocuShare Online customers request enablement through Xerox Sales or DocuShare Support; Cloud Operations performs configuration. On-premises customers need the purchased option and required license. |
View a Document
1. Open a supported document in DocuShare.
2. Select Open in Office Viewer. The document opens in the embedded Office Connector viewer.
3. Use the viewer controls made available by your administrator, such as print, download, copy, comments, help, and the toolbar display options.
4. Close the viewer when finished and return to DocuShare.
Edit a Document
5. Confirm that you have write permission for the document and that you are the lock holder if the document is locked.
6. Select Open in Office Editor. This action is available only when the site is licensed and configured for editing.
7. Edit the document in Office Connector. Saving behavior and collaboration visibility are controlled by the administrator's Office Connector configuration.
8. Save your changes as required by the selected collaboration mode, then close the editor and confirm the expected version or updated content in DocuShare.
| Document locks: DocuShare locking is not required for normal Office Connector editing. If a document is locked, only the user who holds the lock can edit it. |
Autosave and Co-editing
| Setting | Behavior |
| Auto Save | Controls whether the Autosave menu option is available in the viewer/editor. |
| Fast co-editing | Other editors' actions are shown in real time. Fast mode requires Auto Save to be enabled. |
| Strict co-editing | Other editors' changes are not shown until they save their work. |
| Allow co-editing mode change | Controls whether users can change between Fast and Strict modes in the editor. |
| Important: If Auto Save is disabled, use Strict co-editing. Fast co-editing does not work without Auto Save. |
Administrative User Controls
Administrators can control the experience through the Office Connector configuration, including viewing and editing availability, copy, download, print, comments, help, compact header, compact toolbar, and the right-side menu. Apply controls according to the organization's collaboration and information-handling requirements.
| Security note: The settings control Office Connector behavior, but they are not a substitute for DocuShare object permissions, document locking, retention policies, or an organization's information-protection controls. |
Troubleshooting
- If viewing is unavailable, confirm the document type, View license, view enablement, and user read access.
- If editing is unavailable, confirm the Edit license, edit enablement, user write access, and document lock ownership.
- If the document does not load, record the time, document handle, user, and browser used, then provide the information to Support. Do not include the Office Connector secret key in the case description or logs.
