Apply or Replace a DocuShare License String
Applies To
DocuShare 7.5, 7.6, 7.7, 8.0, and 8.1. This article also applies to other older versions of DocuShare, Support assistance requires the applicable current support agreement, and your site is running a supported version of DocuShare.
Before You Begin
- Obtain a valid license string from DocuShare Licensing or your authorized DocuShare reseller. The license must be issued for the DocuShare version you are running and the Host ID of the server where it will be applied.
- Find the Host ID on the DocuShare License page. Do not use a Host ID copied from the DocuShare service entry in Windows Services; that value may be stale.
- If this is a version upgrade or server move, follow the release-specific upgrade instructions and request a license for the target version and server. See How To Obtain a License String.
- Check the licensed user limits before applying the key. If the new license provides fewer seats than are currently assigned, DocuShare may deactivate user accounts that exceed the new limits.
Apply the License
1. Sign in to DocuShare as an administrator.
2. Open Administration Menu > Site Management > License. The Server License Management page displays the current Host ID and license information.
3. Confirm that the Host ID shown on the page matches the server for which the new license was issued.
4. In the License field, replace the entire existing license string with the new string. Paste it exactly as provided; do not add spaces, line breaks, or other characters.
5. Click Apply. If DocuShare displays a confirmation about user accounts or license limits, review the affected user levels before confirming.
6. Wait for the page to finish processing. Verify the license information displayed on the page, including Effective Dates, licensed user counts, and Services Enabled.
7. Confirm that expected users remain active and that the purchased services or add-on features are enabled.
After a Version Upgrade
Use a license issued for the target DocuShare version. Do not assume that the previous version's license string will remain valid after an upgrade.
The DocuShare 8.1 Release Notes identify a specific restart issue: after upgrading an IDOL site with multiple content stores, DocuShare may fail to restart if the license properties file still contains the previous-version key. If this exact condition applies, follow the release-note instruction to replace the old key with the key for the upgraded version and restart DocuShare. Do not edit license properties files for other license problems unless the applicable release instructions or DocuShare Support direct you to do so.
If the License Is Rejected or the Details Are Incorrect
- Confirm that the license was generated for the installed DocuShare version and the Host ID shown on the License page.
- Check that the pasted string contains no leading or trailing spaces, line breaks, or hidden characters.
- If the key applies but the effective dates, user counts, or enabled services do not match the purchase, contact DocuShare Licensing or your sales representative to verify the entitlement.

When contacting DocuShare Support, provide the DocuShare version and patch level, the Host ID shown on the License page, the exact error message, and the steps that led to the issue. Do not include the full license string in an unsecured support request.
