Request a DocuShare License String
Applies To
Supported versions of DocuShare. Check the current DocuShare support policy for the support status of each release.
| Note: If you request a replacement license string for an unsupported DocuShare version with a perpetual license, you will be asked to acknowledge that the version is not supported before a replacement key can be issued. Once issued, the process to apply the key remains the same. |
Before You Request a License
- Confirm the DocuShare version for which the license is needed. License strings are generated for a specific product version and its licensed options.
- Find the server Host ID on the DocuShare Site Management > License page. Use the Host ID shown in DocuShare, not a Host ID copied from the DocuShare service entry in Windows Services.
- Have your customer or company name and the required server details available. For a new server or version upgrade, collect both the old and new Host IDs and the source and target DocuShare versions.
- For an upgrade to a supported DocuShare release, confirm that the current support agreement meets the applicable licensing requirements. Review the published support policy if you are unsure.
- For a restore, disaster recovery, upgrade, or migration, follow the applicable instructions and use the correct procedure and path. Verify that the target system meets the system requirements for its DocuShare version. If you have a valid support agreement, contact DocuShare Support with questions.
| Licensing hours: The DocuShare license mailbox is monitored Monday through Friday, 7:30 a.m. to 3:30 p.m. EST, excluding holidays. If you are planning an after-hours upgrade, arrange to request any required key during regular business hours. |
Request the License
30-Day Trial
Follow the trial instructions provided by the installation wizard or the DocuShare trial process. Use the Host ID displayed on the server's License page when the trial form requests it. Trials are offered only for the most recent DocuShare release, are requested through the trial form rather than the Licensing department and cannot be extended. Request a DocuShare trial license
New Installation or Purchased License
After installing DocuShare, request the license from DocuShare Licensing at docushare.licenses@xerox.com. Include the Host ID displayed on the new server's License page, your customer or company name, and the Sales Order number.
Version Upgrade
| Support requirement: A valid support agreement is required to request a license key for a newer DocuShare version. |
If you are planning to test or begin a DocuShare version upgrade, and your support agreement is current, you can request a 30-day stepping server key from DocuShare Licensing. The stepping key is temporary and does not replace the permanent license for the target server. During the stepping-key period, both servers remain active and supported so you can contact DocuShare Support with questions or issues during the upgrade. If you want DocuShare Professional Services to perform the upgrade, contact your DocuShare Sales representative for a quote.
To request a 30-day stepping server key for a version upgrade, contact DocuShare Licensing at docushare.licenses@xerox.com and include:
- The request for a stepping server key for the upgrade or migration, including the source and target DocuShare versions.
- The old server Host ID and current DocuShare version.
- The new server Host ID and target DocuShare version.
- Your customer or company name and the Sales Order number.
Use the new server's Host ID for the license that will be applied to that server. Do not assume the old license string will work after a version upgrade or server move.
| After migration: Once migration is complete, notify the Licensing team so it can issue the permanent license key for the target server and replace the old server in its records. |
Server Move or Disaster Recovery (Same Version)
Contact DocuShare Licensing at docushare.licenses@xerox.com to request a replacement license key and include:
- The reason for the replacement key.
- The old server Host ID and current DocuShare version.
- The new server Host ID.
- Your customer or company name.
Use the new server's Host ID for the license that will be applied to that server.
After You Receive the License String
Apply the string from the DocuShare Site Management > License page. For the application steps, see How To Apply a New License String / Key in DocuShare
After applying it, verify the effective dates, licensed user counts, and enabled services against the purchase or license request. If the key is rejected or the displayed entitlements are incorrect, see Unable to Apply License Key and/or License Key Invalid Message, or contact DocuShare Licensing.

If you have difficulty applying the license key and have a valid support contract, contact DocuShare Customer Technical Support. Provide your DocuShare version, Host ID, the exact error message, and the steps that led to the issue.
