To add child scan button:
Child scan buttons are used to scan documents to defined locations; each button represents a unique
DocuShare collection or shared network folder. Child scan buttons inherit the access level of the parent,
but can be changed after creation.
Add a DocuShare collection child scan button
A- Start by defining the button
1. To add a DocuShare collection child scan button under the ConnectKey for DocuShare button, or under any child folder button, click the Add child scan button icon under Actions.
2. In the Button Label field, give the scan button a name. Make it short enough to be readable on the touch screen button.
3. In the Scan Type field, select DocuShare Collection.
4. In the Scan to Collection field, enter the handle of the collection where scanned documents are to be sent. You can perform a site search by entering a collection title into this field.
5. In the Owner field, enter the username that you want to assign as owner of all documents scanned into the collection. You can perform a site search by entering a username into this field.
If you leave the Owner field blank, the username of the logged in MFP user will be assigned as owner of the document being scanned, and all documents scanned by Guest users are assigned Admin as the owner.
B- Define the character of scanned documents
1. In the Default OCR field, select the OCR setting of the documents that are scanned into the collection; either Image only (no OCR) or Searchable by either OCR on the MFP or OCR on the DocuShare server.
Your selection in this field determines what is displayed in the other OCR field menus.
2. In the Default Format field, enter the format of the documents scanned into the collection. In
many cases, MFPs save scanned documents in PDF format, but there are other choices available from the menu, depending on your selection in the Default OCR field. Field help explains each choice.
3. In the Default Resolution field, enter the desired resolution of the documents that are scanned
into the collection.
C- Define the Document Type and Title property of scanned documents
1. In the DocuShare Collection Document Settings area, from the Document Type menu, select how the scanned documents are to be defined; generally either Document or a clone that is based on the Document class.
To populate this menu with document types, use Object Properties l Custom Object in the Administration menu.
Depending on the Document Type selected, different properties appear in the Field column. Title
appears for all Document Types, and is a required property for all scanned documents. Settings for the Title property, and any other displayed properties, define the properties of the scanned
documents.
2. Start defining the Title property by entering in the Default Value field, a value you want displayed in the scanned document Title field that will give the user a hint about what to enter. Users can change this default property value (the title of the scanned document) if this field is set to Editable at Scan Time in Display Options.
4. In the Display Options field, select how the field value is displayed at scan time; Read-only,
Hidden, or Editable at Scan Time. If set to Read-only, the title of all scanned documents will be the value you entered in the Default Value field.
5. In the Append Information field, select what information is added to the document Title.
6. In the Appended Location field, enter where Appended Information appears in the Title.
D- Add and define any additional document properties
1. To add more properties, other than the Title, click Add Field.
2. Select a new property from the Field menu, then edit the fields (Default Value, Display Options,
etc.) for the new property.
3. You can also delete a property by clicking Remove.
E- Define how auto-generated sub-collections are handled
1. In the Sub-Collection Setup area, choose how you want ConnectKey to handle the title of the auto-generated sub-collections for incoming scanned documents. You have many options available from the menus. As scanned documents arrive at DocuShare, ConnectKey uses your settings to create collections on-the-fly, with titles based on your settings.
For example, if you set up the sub-collection format as day/month/year; when the first document
that arrives at DocuShare is dated 22/08/2013, ConnectKey creates a collection titled 22/08/2013
and all documents with this date tag are sent to that collection.
F- Review selections and create the button
1. When finished, click Add Button to add a child scan button to the button gallery. An icon
identifies the scan button as pointing to a DocuShare collection.
Child scan button actions
As with all buttons, you have Actions that you can perform on this button type. Child scan buttons are
limited to three actions.
• View/edit settings
View and edit the fields of the button.
• Change permissions
Change the access level of the button.
• Delete the button
Delete the button from the gallery. Deleting a button cannot be undone.
