Set DocuShare User and Group Quotas and Review Usage

Overview

DocuShare administrators can set document-count and document-content-size quotas by user level, user, or group, then review current usage. A user may be affected by several quota settings, so check the quota hierarchy before changing values.

Understand Quota Scope

  • User-level quotas set maximum document storage size for users at the selected level, such as DocuShare or CPX.
  • User quotas can set a maximum document count and document-content size for an individual account.
  • Group quotas can set document-count and document-content-size limits for members of one or more groups.
  • When no user-specific document-count quota is set, the effective count quota is based on the user's group quotas. A specific user quota overrides group document-count quotas.
  • User and group content-size limits may be constrained by the user-level limit. Review all applicable settings before concluding which limit is effective.

Set User-Level Quotas

1. Open Admin Home > Account Management > Users > Change User Level Quotas.

2. Set the maximum document-content size, in megabytes, for the applicable user levels.

3. Apply the change.

If no limit is set, the effective limit may be unlimited unless a user or group document-content-size quota applies.

Set User Quotas

1. Open Admin Home > Account Management > Users > Change User Quotas.

2. Select the user accounts to change.

3. Set the document-count quota and, if needed, the document-content-size quota.

4. Apply the change.

Set Group Quotas

1. Open Admin Home > Account Management > Groups > Change Group Quotas.

2. Select the group or groups to change.

3. Set the document-count and/or document-content-size quota.

4. Apply the change.

When user-level content-size limits are lower than user or group limits, the user-level limit takes precedence.

Review Quota Usage

  • Use Content Management > Repository Use to review user document-count and content-size usage.
  • Use Content Management > Group Statistics to review group quota usage.
  • Users can view their own assigned quotas and current usage from their account properties and Usage Meters.

When a user exceeds an applicable quota, DocuShare displays an error when the user tries to add another document. Confirm which limit applies before raising a quota.
