Note: This solution applies to the DocuShare Outlook Client 6.5 build 9 and older.
Issue
Unable to lock a document from Outlook when you double click or hit Enter on a file using the Outlook Client. Instead of locking the document the Document opens without the normal “read only†status that happens when you browse to the document from Windows Explorer.
Solution
Install DocuShare Client Version 6.5, Revision 1, build 24.
Note: The latest version of the DocuShare Client is available for download at http://docushare.xerox.com/downloads/client/english.html.
Caveats:
The fix does not prevent an editor app (e.g., Word) from letting the user edit a file opened from within Outlook. It does prevent Outlook from saving an edited file back to DocuShare. When a user opens a file from DocuShare, Outlook creates a copy of the original, and hands that to an associated editor application. That is outside the control of the DocuShare Client.
The fix does not force Outlook to create a read-only copy of an original DocuShare file. Consequently, the editor application lets the user edit the (temporary) file and 'save' it back. However, when the user closes the file, that is when Outlook hands over the edited temporary file back to the DocuShare Client for doing the real save operation of uploading to DocuShare, Outlook finds itself unable to do so, because the original DocuShare file has a restricted access. Outlook will warn the user about the read-only status. The file does not get saved into DocuShare.
Note: The temp file inadvertently edited by a user would not be lost. However, a user would have to follow the instructions in the warning message Outlook posts to recover it.
When using the Lock toolbar command, Outlook would behave in exactly the same way as it would when the file was unlocked. In other words, a user can lock a file, but Outlook will still issue the above permission warning and the user will not be able to save an edited file back to DocuShare. The only way to edit a file and successfully save it back to DocuShare is to use the Check Out button.
