Note: This applies to the DocuShare Windows Client. Which is no longer supported.
Issue
When a document is checked out via the web browser the document opens in read-only mode.
Solution
Please follow the steps below to verify that your DocuShare Client settings are configured correctly.
1. Verify that the Internet Explorer Integration library for DocuShare is enabled.
The DocuShare Browser Helper Object (BHO) library must be enabled for the Internet Explorer Integration functions to work including the web browser-based file check-out.
a. Open Windows Internet Explorer.
b. Select Tools | Manage Add-ons | Enable or Disable Add-ons.
c. Under the Name heading look for DocuShare Browser Helper Object library.
Note: It may be listed as BHO.dll located in the C:\Program Files\Xerox\DSClient directory.
d. Verify that the Status is Enabled. If the DocuShare Browser Helper Object is disabled you will need to enable it and then retry the check-out operation.
2. Verify that Enable third-party browser extensions check box is selected.
a. Open Windows Internet Explorer.
b. Select Tools | Internet Options. The Internet Options window displays, select the Advanced tab.
c. Verify that Enable third-party browser extensions* is Enabled. (Check box is selected).
If the enable third-party browser extensions* is disabled you will need to enable it and retry the check-out operation.
3. Verify the Handle Checkout from web browser option is enabled.
a. Right click the DocuShare Client Icon in the system tray and select Properties.
b. Click the General tab.
c. Verify the checkbox next to Handle checkout from web browser is checked. If it is not enabled (checked) then check it and retry the check-out operation.
4. Verify DocuShare Client icon is visible on the system task bar.
a. Click Start | Programs |Startup the submenu should contain the DocuShare Client menu item.
If the DocuShare Client is not listed in the Startup menu, then the DocuShare Client installation has a problem. The Client may need to be re-installed. Before a reinstall is attempted a re-boot of the workstation should be attempted to see if the menu item appears after a reboot.
5. Verify the DocuShare Client has the DocuShare server mapped.
a. Open My DocuShare Places in the DocuShare Client.
b. Under Server Map Heading verify that the DocuShare Server that you are connecting to is listed and that under the Comment Heading the Connection status is OK. If the DocuShare Server is not then you will need to make sure the server is mapped before you retry the open operation.
6. Verify the logon status for the user in the DocuShare Client.
a. Open My DocuShare Places.
b. Under Server Map heading the Comment column for the Server Map should be listed as OK.
If No connection attempt is displayed then you will need to double-click on the Server Map and connect to it. If you receive a 401 Unauthorized Logon failed pop-up message then the credentials provided to log in to DocuShare are not correct. An unauthorized user is unable to perform any file check-out operation. The credential issue will need to be resolved.
7. Verify the method used to check out the file.
Note: Clicking a file's title does and should lead to opening the file in read-only.
To make sure it is a Check Out URL, the user can make note of the flyover when placing your mouse pointer over the text that shows on the status bar of Internet Explorer.
Example URL format:
http:// Docushare:8080/docushare/dsweb/CheckOut/Document-xx/Test.doc
Note: It should not look like this: http://Docushare:8080/docushare/dsweb/Get/Document-xx/Test.doc
8. Verify the file is not locked.
If the file icon displays a padlock icon next to it then the file is currently locked and is not available for a check out. Therefore, clicking the download icon initiates a read-only open operation. Make sure the file is unlocked before retrying the checkout operation.
9. Verify the user who clicked the Check Out icon has write permission for the file
a. View the properties of the file in the DocuShare web UI
b. Click the Permissions Link and verify that the user who is checking-out the file has Writer permissions to the file.
A user without a write permission is not authorized to edit the file.
10. Verify the file is available for modification.
a. View the properties of the file in the DocuShare web UI.
b. Verify that the Add Versions: value is set to Allowed.
A file with Add Versions set to Not Allowed may not be edited, therefore will display as Read-Only.
11. Verify the native editor settings for the document.
a. Verify that the document is opening in the application that it should be.
For example a Microsoft Word Document is opening in Microsoft Word and not a different application. Also verify what version of the application is being used to verify that it is supported with the version of the DocuShare client that is being used.
Note: See the DocuShare Client release notes for the details of the supported application versions.
b. Right-click the DocuShare Client icon in the system tray and select DocuShare Client Settings.
c. Click the File Types tab.
d. Verify that the Common types only checkbox is selected.
e. Locate the file type in the Available types in Explorer: list that is displayed.
Example:
For a document with the .doc file extension name, the associated application is MS Word.
If the file type is not listed, the DocuShare Client does not support the editing of the file.
If there is not an editor associated with the file, the file may not be edited on the client machine.
12. Verify the file appears in the Work In Progress (WIP) folder with the correct editor association.
a. Check-out the file then double-click the DocuShare Client icon on the system task bar to View the DocuShare Work-In-Progress (WIP) folder.
Note: You can also access the WIP folder by right clicking on the DocuShare Client icon and selecting My Work Files | View WIP Folder.
b. Under the File Type heading (far right column) verify the file type matches the type of file it is. For example a .doc file should list the File Type MS Word.
13. Verify the file Work-In-Progress (WIP) stats are correct according to the display.
a. Check out the file and then right-click the DocuShare Client icon in the system tray.
b. Select My Work Files | View WIP Folder.
c. View the Editor column, it should display the associated editor's name (or EXE file name). Verify that the editor listed is correct.
d. Verify the File Handle, Collection, Server Address, etc are listed correctly.
If the File Handle or Server Address is incorrect or blank, the file was not properly checked out by the DocuShare Client. It could be due to persistence of a work copy of the checked out file. For example, if the user had cancelled a file check-in, but the DocuShare Client could not remove the work copy of the file from the Work-In-Progress (WIP) folder due to an unknown cause.
To resolve the File Handle or Server Address displaying incorrectly follow the steps below:
a. Right-click the file Title in the WIP folder, and select Save Local… this option will allow you to save the edited working version of the checked out file in a local folder directly accessible to you using Windows Explorer.
b. Right-click the file Title again.
c. Select Delete. This should remove the disassociated working copy from the WIP folder.
d. Restart Windows.
e. Retry the check-out operation again.
Note: If the problem persists, contact DocuShare Technical Support at 1-800-835-9013 for instructions on how to clean up the DocuShare Client WIP folder.
14. Verify the registry settings that are needed for the Browser Helper Object (BHO) to access the file monitor are correct.
a. Open a Command Prompt window.
b. Type cd “C:\Program Files\Xerox\DSClient” and press Enter.
Note: Depending on your installation the path to the DocuShare Client Install (DSClient) may vary.
c. Type dsmon /regserver and press Enter.
d. You will be returned to a command prompt.
e. Retry the check-out operation again.
15. Add DocuShare to Trusted Sites.
a. Open Internet Explorer.
b. Select Tools | Internet Options. The Internet Options window displays.
c. Select the Security tab.
d. Under Select a zone to view or change security settings highlight Trusted Sites.
e. Click the Sites button. The Trusted sites window displays.
f. In the Add this website to the zone: box type or past the URL for DocuShare and then click the Add button.
g. The DocuShare site URL should now be displayed in the Websites box.
h. Click the Close button.
16. Verify if the user is using a pinned site shortcut to access DocuShare.
Pinned sites run without any Browser Helper Objects therefore check-out is not possible from pinned site shortcut.
To verify if a pinned site is being used:
a. Right-click the shortcut used to access DocuShare.
b. Select Properties. The Properties window will display.
c. On the General tab, under Type of File: verify if it says Pinned Site Shortcut (website).
17. Verify if the user is using Internet Explorer (IE) version 10 or 11.
They need to have compatibility mode enabled for the documents to be displayed (non-read only).
