The Display Temporary Scan Repository to Users option must be enabled before the temporary repository is created. (The temporary repository is created once a document is scanned to it.)
Prerequisites:
· Remove the Temporary Scan Repository if it has been created.
a. Log into DocuShare as admin.
b. Go to DocuShare Home page where the Temporary Scan Repository collection is displayed and move any scanned documents to another location, then delete the Temporary Scan Repository collection.
To Restrict Users from Accessing\Displaying Temporary Scan Repository:
1. Log into DocuShare as admin.
2. Click Admin Home | Services and Components | Scan. The Scan page displays.
3. Next to Display Temporary Scan Repository to Users select No.
4. Click the Apply button.
A new Temporary Scan Repository collection will be created with updated access control:
· Site Administrator (admin) has Reader, Writer and Manager access.
· Content Administrators has Reader, Writer and Manager access.
Note: If Scan page has the following configuration settings.
· Allow Read Access to Scanned Documents set to Yes.
· Display Temporary Scan Repository to Users set to No.
Ø The Temporary Scan Repository collection will have the following access control setting:
· Site Administrator (admin) have Reader, Writer and Manager Access.
· Content Administrators have Reader, Writer and Manager Access.
Ø Documents scanned to the repository has the following access control setting:
· Site Administrator (admin) have Reader, Writer and Manager Access.
· Content Administrators have Reader, Writer and Manager Access.
· All Users Except Guest have no permission.
Normal users will have no direct access to Temporary Scan Repository collection. They can only view scanned documents via WorkCentre Scan Repository.
Note: If documents were scanned via the MFP with a passcode, the page will prompt users to enter passcode to access the restricted documents:
The added privacy control to specific document is provided by passcode.
